Refund Policy
The Journal of Advanced Electrical and Electronic Engineering (JAEEE) is committed to maintaining a fair, transparent, and consistent approach to all publication-related payments and refund requests. This policy explains the conditions under which refunds may be requested for Article Processing Charges (APCs), printed copies, and other services actually offered by the journal.
1. Article Submission and Peer-Review Fees
JAEEE does not charge authors for initial manuscript submission, editorial screening, or peer review.
Authors are not required to make any payment before an editorial acceptance decision.
Accordingly, manuscripts rejected or withdrawn before acceptance do not incur submission or peer-review fees.
2. Article Processing Charges (APCs)
JAEEE applies an Article Processing Charge (APC) of USD 100 per accepted article, subject to the journal's published APC and Waiver Policy.
The APC becomes payable only after a manuscript has been formally accepted for publication.
Payment of an APC does not influence editorial decisions, peer-review outcomes, or the journal's commitment to publication ethics.
Authors granted a full or partial APC waiver will be charged only the applicable amount stated in their waiver decision.
3. Refunds Before Publication
Authors who have paid an APC but subsequently request manuscript withdrawal before official publication may submit a written refund request.
Refund eligibility will be assessed according to the manuscript's publication status, the services already completed, and the circumstances of the withdrawal.
Where publication services have not been completed, a full or partial refund may be granted following administrative review.
A refund is not automatic solely because an author requests withdrawal after acceptance.
JAEEE does not impose a separate administrative withdrawal penalty.
4. Refunds After Publication
Once an article has been officially published online, the APC is generally non-refundable because the publication service has been completed.
Requests involving exceptional circumstances, including duplicate payments, billing errors, or failure to provide an agreed publication service, will be reviewed individually.
Corrections, expressions of concern, and retractions will be handled in accordance with the journal's Publication Ethics Policy and Article Correction, Retraction and Expression of Concern Policy.
Retraction or correction of a published article does not automatically establish entitlement to an APC refund.
5. Refunds for Printed Copies
Where JAEEE accepts orders for printed articles or journal issues, printing and delivery charges will be communicated before payment.
Authors, readers, or institutions may request cancellation and a refund before printing or order fulfilment has commenced.
Where production has already begun, refund eligibility will depend on the costs incurred and the circumstances of the cancellation.
If printed materials are defective, incorrect, or not delivered because of an error attributable to the journal or its service provider, the journal will arrange an appropriate replacement or refund.
Refunds for shipped or delivered materials will be considered in accordance with applicable consumer protection requirements and the circumstances of the request.
6. Institutional Print Subscriptions
Where institutional print subscriptions are offered, their pricing, delivery arrangements, cancellation terms, and refund conditions will be communicated before payment.
Requests involving undelivered issues, cancellation, or service errors will be reviewed fairly.
Any approved refund will take account of issues already supplied, outstanding deliveries, and applicable legal requirements.
7. Refund Request Procedure
All refund requests must be submitted in writing to the editorial office at editor@jaeee.org.
Requests should include:
-
Corresponding author's name and contact information.
-
Manuscript title and submission identification number, where applicable.
-
Payment date, amount, and transaction reference.
-
Reason for requesting a refund.
-
Supporting documentation, where relevant.
The editorial office will review refund requests and normally communicate a decision within 15 business days after receiving the necessary information.
Approved refunds will ordinarily be processed through the original payment method, where feasible. Actual processing times may depend on the payment provider or banking institution.
8. Duplicate or Incorrect Payments
Payments made more than once for the same service, or amounts collected incorrectly, are eligible for correction or refund after verification.
JAEEE will take reasonable steps to resolve confirmed billing errors promptly.
9. Exceptional Circumstances
JAEEE recognizes that exceptional circumstances may arise that are not specifically addressed in this policy.
Such requests will be assessed individually, taking into account fairness, documented circumstances, services provided, and applicable legal obligations.
Refund decisions will not be used to interfere with editorial independence or scholarly evaluation.
